You are not required to assign orders to users to ship them, but there are a few advantages when you do:
- Assigned User can be used as a criteria for saved filters, views, and automation rules. It's available as a viewable column on the Orders tab.
- Assigned User is stored on the order record and will be included in certain order reports and exports.
- Each user can be set with a restriction that makes it so they only have access the orders which are assigned to them. See our article Set User Permissions and Restrictions in Your Account for more details on how to set up user restrictions.
Only one user can be assigned to an order, but you can change the assigned user at any time.
There are three ways you can assign an order to a user.
1. Manual action
On the orders tab, select an order or multiple orders that you’d like to assign to a user. From there, all you have to do is select the Assign button on the Actions bar.
You’ll see a list of current users. Select the name you’d like to assign the order to, and the order will be immediately assigned. If you have the Assigned To column enabled, you can see the user’s name on the line for this order.
This action is limited to the visible orders on the page, so up to 100, 250, or 500 orders can be assigned to the user, depending on your page view size.
2. Bulk Action
If you need to assign the user to more orders than your page view size, you can use a bulk action to assign the users to all orders in the current view.
First, use the search or filters to locate all the orders you want assigned to the user.
Then, go to Other Actions, and then select Apply Bulk Action.
Choose to apply the action to all orders in the current view, and set the action to Assign to a user... using whichever user you want assigned.
Click Confirm to apply the action. ShipStation will refresh the page and all the the user will be assigned to all the orders.
3. Automation Rule
You can create automation rules that can assign orders to a user whenever they import into ShipStation's Awaiting Shipment status. When automation rules which include an action to Assign to a user... apply to an order, the order will be assigned to the user dictated by the action.
