It's easy to delay shipment notifications to your customers and selling channels!
By default, ShipStation sends shipment notifications the moment you create a shipping label. However, depending on your business process, that might be too early.
Follow the steps below to enable delayed shipment notifications on a store-by-store basis.
Head to your Account Settings (the wrench icon in the upper right).
Next, select Selling Channels and then Store Setup from the sidebar on the left.
Click on Edit for a store that needs delayed shipment notifications, then click on the Notifications sub-tab.
There are two options for sending email and marketplace shipment notifications (or just marketplace notifications if you don't use ShipStation to send emails):
- When shipping labels are created (the default)
- When a certain condition is met
Here's a quick rundown of the available conditions
The shipment first hits the mail stream
Available for carriers and services that send us mail stream activity.
Every few hours, ShipStation receives updated tracking statuses for these carriers and services. When there is activity indicating the package is moving through their system, ShipStation will send a shipment notification to your customers and marketplace.
At a specific time on the ship date
Available for all shipments.
When creating shipping labels individually or in a batch, our system allows you to specify a Scheduled Ship Date. This condition tells ShipStation to wait until a specified time on that scheduled ship date before sending shipment notifications to the customer and marketplace. Be sure that the time entered here is in US Pacific Standard Time (PST).
Number of hour(s) elapsed after label creation
Available for all shipments.
This condition is similar to the default shipment notification setting, except it adds one or more hours as buffer. Once that buffer time has passed, ShipStation will send Shipment notifications to your customers and marketplace.
If you select multiple conditions, the first condition that is met will trigger the marketplace and customer notification.
Keep in mind that delayed notifications won't change the following:
- The marketplace and customer notification will happen at the same time
- Some marketplaces don't accept our shipment notifications (e.g., PayPal)
- Some marketplaces don't allow us to send shipment confirmation emails (e.g., Amazon)
- Not all carriers and services send mail stream activity to third-party apps like ShipStation. If you use a carrier/service that does not support sending mail stream activity, the delayed notification won't be triggered.
Once you've set your delayed shipment notification settings for your store, don't forget to Save Changes.
Repeat these steps for any other stores you'd like to set up with delayed shipment notifications. Going forward, all of your shipments will respect these settings!
Please Note: Removing the delayed notification settings for a store and returning to the default option of "Shipping label is created" will not trigger ShipStation to send notifications for any shipments that have already been created and are already being delayed. If delayed notification settings are removed, we recommend you look up any outstanding shipments on the Shipments tab and force the notifications to be sent by using the Notify Marketplace(s) and Resend Confirmations(s) actions on that tab.
