How to add a Volusion store to ShipStation, what features are available, other need-to-know details, and troubleshooting tips.

Volusion specializes in ecommerce websites. Create and manage your website and online store. ShipStation support order importing your orders, customer-requested shipping services, gift options, coupons, and discounts, as well as order notes from customers. Volusion integrates directly with ShipStation to automatically import your orders so you can start shipping quickly. ShipStation will automatically notify your Volusion account with each order's shipment details as soon as you create each label.

Volusion Requirements

Connection Requirements:

  • An active account with Volusion.

    ShipStation supports connecting both Volusion V1 and Volt by Volusion (V2) stores.

  • Access to Volusion's API.

    Note

    Some older Volusion plan levels do not have API access.

Order Import Requirements:

  • Includes a Ship To address.

Connect a Volusion V1 Store to ShipStation

To connect your Volusion V1 store to ShipStation:

  1. Log in to your Volusion administration site.

  2. Go to Customers then Administrators and create a new admin user specifically for ShipStation.

  3. Log out of Volusion.

  4. Log back into Volusion with the newly created ShipStation user account.

  5. Select Inventory and then Import / Export from the main menu.

  6. Click the Volusion API button.

  7. Click the Run button next to Generic\\Orders.

  8. Click the Run button again.

  9. Copy the Volusion API URL that was just generated.

  10. Select the Volusion tile.

  11. Select Volusion V1 from the version drop-down menu.

  12. Enter the Volusion API URL.

After you've completed the connection steps, your store will be connected to ShipStation. You'll be taken to the store's Settings page to adjust the store-specific settings like branding, notification preferences, and product handling.

Connect a Volusion VOLT Store to ShipStation

To connect your Volusion VOLT store to ShipStation:

  1. Log in to your Volusion administration site.

  2. Go to Integration > API Keys.

  3. Click Create an API Key.

  4. Copy the Volusion API Key that was just generated.

  5. Select the Volusion tile.

  7. Enter the Volusion API Key.

After you've completed the connection steps, your store will be connected to ShipStation. You'll be taken to the store's Settings page to adjust the store-specific settings like branding, notification preferences, and product handling.

Configurable Time Zone

By default, ShipStation assumes that the Volusion store's server uses UTC as the timezone. If your Volusion account uses a different server timezone, you can define it in the store's settings.

Exclude eBay Orders From Import

If enabled, ShipStation will ignore any Volusion orders which originated on eBay.

Use Requested Shipping Service

If enabled, shipment updates to Volusion will use the same shipping service as requested by the customer, instead of actual shipping service used to create the label.

If a store allows custom statuses, this means you define that statuses your orders use in your selling channel. In most cases, if you have custom statuses you'll need to define which ShipStation statuses each custom order status corresponds to.

ShipStation will import the customer's email address with the order data and can send shipment confirmation and delivery emails to that email address (configured in your Store settings).

ShipStation will import the customer phone number with the order data.

ShipStation will import the shipping method chosen by the customer during their store checkout.

ShipStation will import the payment method used to pay for the order.

ShipStation will import discount and coupon information for the order.

ShipStation can determine if an order is a gift from the order data sent by the store.

ShipStation will import internal notes or order activity from the store into the ShipStation Internal Notes field.

ShipStation will import notes provided by the customer when they made their purchase.

ShipStation will import the total order weight from the store.

ShipStation will import the weight for each line item in the order.

ShipStation will import an image URL for each line item in the order. These images will appear as thumbnails in your Order Details and can be included in email notifications and packing slips.

ShipStation will import item options (such as color or size) for each line item in the order. This data will appear in your Order Details and can be included in customer emails and packing slips.

ShipStation will import a product stock location for each line item in the order.

The shipment update ShipStation sends to the selling channel will include any Notes to Buyer set on the order in ShipStation.

Additional Details about the Volusion Integration

  • ShipStation will only import new Volusion orders when they are in an Awaiting Payment or Awaiting Shipment status. Orders that are already in a Shipped or Cancelled status on Volusion will not be imported into ShipStation. However, ShipStation will still update orders as Shipped or Cancelled if they were originally imported into an Awaiting Payment or Awaiting Shipment status.

Volusion Troubleshooting Tips

Here are some common issues experienced by users, potential causes, and available troubleshooting tips.

The Order Date in ShipStation is different than the Order Date in Volusion

What it means: This usually occurs because the Volusion server is using a different timezone than the timezone set in the store's settings in ShipStation, which causes the Order Date to be thrown off when converting the timestamp based on time zone.

What to do: Update the store's settings so that the store is using the same timezone as the server your Volusion store is hosted on.

Orders placed late in the day do not import into ShipStation

What it means: Similar to the issue above, this typically occurs because the Volusion server is using a different timezone than the timezone set in the store's settings in ShipStation, which causes our import process to inadvertently skip ahead.

What to do: Update the store's settings so that the store is using the same timezone as the server your Volusion store is hosted on.

Shipping method not updating on orders in Volusion.

What it means: This can occur if the requested service in ShipStation is mapped but the actual service and package type used is changed from the mapped service before creating the label.

Volusion's system requires we send back the shipping method ID, instead of the actual carrier, service, and package text. If the carrier, service, or package doesn't match what is mapped in ShipStation, then ShipStation cannot post the shipping method accurately back to Volusion.

Error: An error occurred attempting to update orders: System.Data.SqlClient.SqlException: Invalid column name.

What to do: Please see Volusion's Knowledge Base article for more information on how to resolve this issue with your API file.

Once you complete the steps in the Volusion article above, you should then be able to successfully import your Volusion orders into ShipStation.

Error: Please update your username and password for Volusion in ShipStation.

What to do: Update your Volusion account password, generate a new Volusion API URL, then reconfigure your Volusion store in ShipStation.

For security reasons, Volusion requires all admins to update their password every 90 days. This update affects your store connection to ShipStation because the Volusion API URL encrypts your Volusion admin username and password.
