How to add a X-Cart store to ShipStation, what features are available, other need-to-know details, and troubleshooting tips.

X-Cart Requirements

Connection Requirements:

  • An active X-Cart store using X-Cart version 4.4 or greater.

    • 4.4.x - 4.7.x

    • 5.1.0.x - 5.5.0.x

  • Your X-Cart admin username, password, and URL to X-Cart store.

  • The ShipStation X-Cart module must be installed and activated in the X-Cart store.

Scope of Support

Installing the module to your X-Cart webserver is beyond the scope of ShipStation support. We recommend you contact your store developer or X-Cart Support if you need assistance with the module installation process, as the process can differ based on the unique Apache server configuration.

Connect an X-Cart store to ShipStation

To connect your X-Cart store to ShipStation:

  1. Select the X-Cart tile.

    X Cart logo. Button that reads, Connect
  2. Select Your X-Cart Version.

  3. Download and install the ShipStation module for your X-Cart version.

  4. Enter your X-Cart administrator Username, Password, and the URL to X-Cart Store in the corresponding fields.

  5. X-Cart 5.x only: Map any custom statuses if needed. Both payment and shipping status should be included, with a | (pipe character) separating them. (Ex: Paid|New)

  6. Click Connect.

After you've completed the connection steps, your store will be connected to ShipStation. You'll be taken to the store's Settings page to adjust the store-specific settings like branding, notification preferences, and product handling.

Available Features for X-Cart Integration

The ShipStation integration with X-Cart supports the following standard features:

If a store allows custom statuses, this means you define that statuses your orders use in your selling channel. In most cases, if you have custom statuses you'll need to define which ShipStation statuses each custom order status corresponds to.

ShipStation will import the customer's email address with the order data and can send shipment confirmation and delivery emails to that email address (configured in your Store settings).

ShipStation will import the customer phone number with the order data.

ShipStation will import the shipping method chosen by the customer during their store checkout.

ShipStation will import the payment method used to pay for the order.

ShipStation will import discount and coupon information for the order.

ShipStation can determine if an order is a gift from the order data sent by the store.

ShipStation will import internal notes or order activity from the store into the ShipStation Internal Notes field.

ShipStation will import notes provided by the customer when they made their purchase.

ShipStation will import the total order weight from the store.

ShipStation will import the weight for each line item in the order.

ShipStation will import an image URL for each line item in the order. These images will appear as thumbnails in your Order Details and can be included in email notifications and packing slips.

ShipStation will import item options (such as color or size) for each line item in the order. This data will appear in your Order Details and can be included in customer emails and packing slips.

ShipStation will import a product stock location for each line item in the order.

The shipment update ShipStation sends to the selling channel will include any Notes to Buyer set on the order in ShipStation.

Additional Details about the X-Cart Integration

  • Configurable Time Zone: By default, ShipStation assumes that the X-Cart store's server uses UTC as the timezone.

    If your X-Cart account uses a different server timezone, please contact ShipStation support to change the timezone setting.

  • Custom Statuses are supported for X-Cart 5.x stores, but you can only set them when you connect the store to ShipStation.

    If you need to adjust statuses after you connect your store, you must contact ShipStation support for assistance.

  • Import Orders without Ship To data: To allow orders to import without ShipTo data, you must contact ShipStation support for assistance

X-Cart Troubleshooting Tips

Here are some common issues experienced by users, potential causes, and available troubleshooting tips.

How to troubleshoot or resolve

The Order Date in ShipStation is different than the Order Date in X-Cart

What it means: This problem usually occurs because the X-Cart server is using a different timezone than the timezone set in the store's settings in ShipStation. That difference causes the Order Date to be thrown off when X-Cart converts the timestamp based on time zone.

What to do: Contact ShipStation support and ask an agent to update the store's settings so the store will use the same timezone as the server your X-Cart store is hosted on.

Certain orders placed late in the day do not import into ShipStation

What it means: Similar to above, this problem usually occurs because the X-Cart server is using a different timezone than the timezone set in the store's settings in ShipStation. That difference causes our import process to inadvertently skip ahead.

What to do: Contact ShipStation support and ask an agent to update the store's settings so the store will use the same timezone as the server your X-Cart store is hosted on.
