Inventory Sync FAQ

  • Why I don’t see any Inventory Sources?

Be sure that you have enabled Inventory Tracking on the Inventory Settings page.

  • What happens when I save my inventory sync configuration?

Once you select Save Configuration, your inventory counts will start syncing. Be sure to have all of your inventory counts up to date before you save the configuration.

  • What is a source and what is a target?

    • Sources define where your inventory counts come from. In most cases, this count will be your Shipstation inventory levels. Sometimes, you may also have some 3PL inventory that you want to add to these counts.

Both of these stock levels are added together to include the available and “in stock” counts.

    • Targets define places to send your stock levels to. Typically these would be your selling channels such as Shopify, Amazon, eBay, etc.

  • What value do you sync?

For a given SKU, Shipstation will sync what we call your “In Stock” count, which could be considered the stock you have available to sell. To calculate this, we take your On Hand counts from your ShipStation Inventory, then subtract any committed stock (orders in awaiting shipment with this SKU in them) and send that count to each target.

  • How often does my inventory sync?

Inventory is synced periodically as orders are received. If your inventory counts seem out of date, you can always push a sync by clicking on the Initiate Manual Sync button on your inventory sync settings tab.

  • If one or more of my stores aren’t syncing, how can I fix that?

One quick way to troubleshoot this issue is to reconfigure your store connection. If the problem persists, contact our support team for further assistance.

  • What can I do if the counts in my store do not match my other inventory counts?

There are a few possible reasons why your inventory might not be syncing. You can always download the latest sync report to get a specific error message as to what SKUs failed and why. You can do this by selecting the sync details in your Inventory Sync Configuration menu options (•••):

Be sure to check that all of the following possibilities are not happening:

    • Your latest counts have not synced yet: Inventory counts are currently synced every 10 minutes. To see when your inventory was last synced you can navigate to your Inventory Sync tab and check the Last Sync date and time under your targets.

If you don’t want to wait, you can click the Initiate Manual Sync button or click the Refresh All Stores button to kick off a sync now.

    • Your SKUs don’t match: Inventory counts are synced based on SKUs. If the SKUs on your selling channel are not an exact match to the SKUs in ShipStation, the counts will not sync.

Product Aliases and Product Bundles are supported and will sync properly!

Check for Hidden Spaces at end of SKU

Double-check that there is not a hidden space at the end of your SKU.

    • Your store connection needs to be reconfigured: One quick way to troubleshoot this issue is to reconfigure your store connection.

  • Why is my selling channel not listed as an option in the configuration?

At this time Inventory Sync only supports Amazon, Etsy, Shopify, Walmart, BigCommerce, WooCommerce, and eBay. We have more selling channels coming soon! You can always request a specific selling channel or marketplace by clicking the Give us Feedback button on your Inventory Sync tab.

  • Do Product Bundles sync?

Yes! Product Bundles are supported and now sync properly with inventory sync.

  • Do Product Aliases sync?

Yes!. Product Aliases are supported and now sync properly with inventory sync.

  • Can I select which SKUs from my store are synced?

No. At this time you cannot select which SKUs are synced. All SKUs listed in your Inventory tab will be synced to the stores they are listed on. If you disable inventory tracking for a specific SKU, it will not be synced. See our the 'Do Not Track Inventory' Option section of the Internal Inventory Settings article.

  • Can I sync products based on Product Name?

No. At this time inventory is synced only based on SKU.

  • What is Committed and why is it included as an inventory count?

Committed is the quantity of a SKU necessary to fulfill all active orders. This count is set automatically once orders are received in ShipStation.

  • How do I pick the warehouse in Shopify that my inventory syncs to?

At this time ShipStation Inventory sync only syncs your inventory counts to your first created warehouse. Updates here coming soon.

  • What do I do if I see this “401 Module Error…your credentials are missing the necessary scope to perform the operation…”?

You will need to reconfigure your store connection. It may be that it was connected before the necessary scopes were available (basically, the ability to update your stock counts at your store).
