Refund Assist

Refund Assist takes the hassle out of getting refunds for unused USPS® shipping labels. Instead of you having to track down and submit refund requests, you authorize ShipStation to identify eligible labels and submit the requests to USPS on your behalf. You'll receive effortless refunds of up to 70% as credits to your account balance. Say goodbye to complicated refund processes — save time and money with Refund Assist.

How It Works

  • Refund assist reviews unused USPS labels and submits eligible refund requests on your behalf.

  • Labels qualify if printed but not received or scanned by USPS within twenty-one (21) days of the print date.

  • After labels are scheduled for a refund, customers have five days to exclude any they don’t want refunded.

  • Once ShipStation initiates refunds with USPS, they take 1-4 weeks to process.

  • After processing, customers will receive 70% of their USPS-approved refund amount as a credit to their ShipStation account balance.

Enable or Disable Refund Assist

To change your Refund Assist settings:

  1. Select Shipping, then choose Refund Assist from the side navigation. 

  2. Slide the toggle to enable or disable Refund Assist.

Using Refund Assist in The Shipments Grid

You will be able to view and manage your Refund Assist eligible shipments by going to Shipments> Shipping > Refund Assist.

Shipments can be filtered by the following statuses:

  • Request Scheduled: Shipments in this status can be excluded from your refund request.

  • Pending: Shipments in this status have an active refund request with USPS.

  • Approved: Shipments in this status have been refunded by USPS.

  • Excluded: Shipments in this status were not sent to USPS for a refund request.

  • Rejected: Refunds for shipments in this status were not approved by USPS.

The shipment cost, requested refund amount, and the credited amount of each refund request is available in the Refund Assist grid as well as in the Shipment Details pop-up.

Exclude Labels from Refund Assist

With Refund Assist, you can exclude any labels you do not want to submit for a refund request. However, if you do not take action before the scheduled request date, all eligible labels will be submitted for a refund request.

To exclude labels from Refund Assist:

  1. Go to Shipments > Shipping > Refund Assist .

    SHIPMENTS tab side navigation. Shows Shipped > Refund-Assist marked
  2. Select the desired shipment(s) from the Refund Assist grid to activate the Exclude from Refund button.

    Only labels with the Refund Status of Request Scheduled can be excluded from an upcoming refund request.

    After the label is excluded, the Refund Status will update to Excluded. No refund request will be sent for Excluded labels.

Notes About Refund Assist

  • Refund Request Date will be blank for any shipment that has been excluded from Refund Assist.

  • If Refund Assist is turned off, shipments with the status Request Scheduled will not have refund requests submitted.

  • Once a refund request is submitted, the label is automatically voided.

  • Email notifications will be sent when your first refund request is scheduled. Each week that a refund request is sent, you will receive an email with updates on all activity related to Refund Assist.

    • If there are no refunds scheduled, submitted, or processed during a given week, no update email will be sent for that week.
