Update Your Stock Levels

After you have Set Your Initial Stock Counts there are a few ways you can manually adjust your available stock counts.

For individual products you can update stock levels and stock locations in the Product Details screen. To update multiple products at the same time use the Inventory CSV import process, or quickly update your stock counts using the Scan to Receive feature.

You can also automate removing stock as you ship using Inventory Tracking or Inventory Sync.

Update a Single SKU

When you add, remove, or set stock, you can add a note to help you remember why you made the adjustment. When you add stock, you can also specify your cost for those additional units.

These functions, including a history of changes, are also available via the Inventory tab in the Product Detail screen.

The Inventory tab also offers the ability to Move stock from one warehouse location to another.

The above process is a good option if you just need to adjust stock for a single SKU, but it would be a lot of clicks to update multiple SKUs in this way. To update stock levels for multiple SKUs in bulk, follow the steps in the next section Update or use Scan to Receive.

Update Multiple SKUs with a CSV

Updating multiple Inventory records takes three main steps:

  1. Export your existing inventory records.

  2. Update the Inventory CSV file as needed.

    • Be sure your CSV file contains all the information you need for your inventory records. The CSV import process will replace the inventory data in ShipStation with the data from the CSV.

    • Additionally, if you have a blank cell in the CSV for a field that currently contains data in ShipStation, the CSV import will overwrite that data with a null value and that data will no longer be available in ShipStation.

  3. Import the updated CSV file.

    • A CSV template is no longer required for inventory imports.

    • You can enable inventory sync for automatic inventory count updates. Turn off sync to stop updates.

Once your import is complete, your stock levels will be updated for that Inventory Warehouse. Repeat this process for each Inventory Warehouse. Read our CSV Import Troubleshooting and Tips article if you encounter difficulty importing your CSV file.

Updating your stock counts can now be done using a scanning device. To start scanning inventory counts:

  1. Optional Select a specific warehouse on the left-hand sidebar. You can also do this later.

  2. Select the Receive Stock button.

  3. Select the warehouse you are receiving inventory for. You can also input notes for your inventory history log.

  4. Click into the “Scan a UPC or SKU” field to begin scanning. You can either Scan a product, or type the UPC and SKU in the text field. Once scanned, the item will appear in the Scanned Products section.

  5. (Optional) Edit the product details in the Scanned Products section.

    From the Scanned Products grid you can edit the following details:

    • Warehouse Location (optional)

    • Quantity

    • Unit Cost (optional)

    If you check Show Advanced Inventory Fields you can also include:

    • Lot ID (if applicable)

    • Expiration Date (if applicable)

  6. Click Submit when you are finished scanning your products and updating the details.

    Stock counts scanned will be added to your existing stock counts.

Notes About Scan to Receive

  • Stock counts scanned will be added to your existing stock counts.

  • If you scan an item more than once, the Quantity will increment once for each scan.

  • At this time you cannot scan a location or lot ID. This capability is coming soon.
