Stock Audits

Use Stock Audits in ShipStation to verify and correct your physical inventory counts directly from the mobile app. With inventory management permissions, you can create audits in a web browser.

You can also target specific warehouse locations and assign audits for completion on a mobile device. From the mobile app, you can complete assigned audits or quickly adjust the quantity of a SKU on the spot.

As audits are completed, ShipStation updates stock levels in real time. These updates keep your inventory records accurate without manual data entry later.

To use stock audits, you must manage your inventory in ShipStation.

Choose Your Audit Method

Depending on your task, you can perform two types of stock audits in ShipStation:

  • Assigned Audits (Web-to-Mobile): Best for scheduled or comprehensive inventory reviews. Create and assign the audit from your web browser, and team members will complete it using the mobile app.

  • On-the-Spot Audits (Mobile Only): Best for quick, immediate corrections. Adjust the quantity of any individual SKU directly from the mobile app on the warehouse floor without needing a pre-assigned audit.

Create and Assign a Stock Audit (Web-to-Mobile)

Follow these steps to create a stock audit in a web browser.

Permissions Requirement

Only users with inventory management permissions enabled can conduct Audits.

  1. Select your desired warehouse from the side navigation.

  2. Select the SKU(s) you would like to audit.

  3. Click Create Audit.

  4. Fill in the details for the audit, then select Create Audit when finished.

    The Audit will now be assigned to the selected SKU(s).

  5. To view the assigned audits in the inventory grid, select the Columns button and make sure the ‘Audit’ column is visible.

  6. Optional: To edit or delete an Audit, click the Audit in the Product grid. Make any changes in the Edit Audit popup.

Conduct a Stock Audit (Mobile Only)

This is the mobile portion of the Web-to-Mobile workflow. The audit is configured and sent to the device by a manager from the web browser.

Follow these steps to conduct a stock audit using ShipStation’s mobile app.

Permissions Requirement

Only users with inventory management permissions enabled can conduct Audits.

  1. Log in to the ShipStation mobile app.

  2. Open the main menu iOS_Menu_Icon.png.

  3. Select Inventory in the side navigation.

  4. Select the warehouse where your audit is assigned.

  5. Select Audit.

  6. Select the audit you would like to complete.

  7. Select Start Audit.

    The first product to audit will appear.

  8. Go to the listed Warehouse Location.

  9. Scan or manually verify the location, then select Confirm Location.

  10. Verify the quantity On Hand, then select Confirm Count.

    Audit Logging

    You can also add Reasoning or Notes to the audit log.

    Your stock levels will be updated immediately.

  12. Continue verifying locations and stock levels.

  13. Select Finish Audit and then Submit Audit o the next screen when complete.

    You can also exit an audit without completing all SKUs, and you can revisit the remaining SKUs later.

Report an Issue During a Stock Audit

While conducting an audit, you can also report any issues with the listed locations and SKUs.

  1. Start conducting a stock audit.

  2. Select Action on a SKU(s) detail screen.

  3. Select an Action from the 2 options that appear:

    1. Different SKU Found: Log a SKU you found in this location

    2. Skip item: Come back to this one later

Perform a Quick On-the-Spot Audit (Mobile Only)

To quickly audit or adjust a single SKU directly from the mobile app without a pre-assigned web audit:

  1. Select the menu iOS_Menu_Icon.png in the mobile app.

  2. Select Inventory.

  3. Select the warehouse where the item is located.

  4. Search for, scan, or select the desired SKU.

  5. Adjust the quantity on hand.

  6. Optional): Add a Reasoning (e.g., Damaged, Missing, Miscount) or Notes.

  7. Select Adjust to save your changes.
