View, Search, and Sort Returns

Once you have returns in ShipStation, you can view and manage them in the Returns tab regardless of how the return is created. Think of ShipStation as your main dashboard, instead of logging into different stores to check on your requests, you can see all your returns in one place. This helps you save time and keeps your records organized.

ShipStation offers several ways to view, search, and sort your returns so you can find them you need when you need them. This includes viewing your returns based on return status, using the search tool, and sorting the grid by field.

By default, ShipStation displays recent returns with a __________ in the last ______ days, and returns in the Awaiting Shipment, Processing, Flagged, Completed status. The default filter for each status of the Returns tab defaults to show records for the last _______ days from the current date.

Understanding Return Statuses

In the Returns grid there are four status options, review the details in the status table below to learn more about how return statuses work in ShipStation.

Awaiting Shipment

The return has started, but there is no shipping label yet.

ShipStation displays Awaiting Shipment orders by default.

Processing

A label has already been made. If you make a label in ShipStation, it moves here automatically.

Flagged

These returns have encountered an issue during processing. For example, there may have been trouble issuing a refund. Flagged returns will have a red alert banner when viewed on the Returns detail page.

Note: Currently Imported Returns do not support this status.

Completed

The item is back in your hands and the customer has been refunded.

When using Imported Returns please note that the statuses for returns in your store may not exactly match the statuses ShipStation uses. That's because ShipStation statuses relate directly to your returns workflow, which might require different statuses than what your store provides. ShipStation uses a process called mapping to determine which store statuses correspond to which ShipStation statuses. 

Search Returns

Just like the Orders or Shipments tab, the Returns tab provides the option to do a Quicksearch.

QuicksearchStarts-with style search in the Orders tab, meaning the results of the search are items that start with the search value. To help understand how the Quicksearch function works:

For example, if you have an return with the order number 121-657485676-89705 quick search will break it down into 121, 657485676, and 89705. You'd be able to find this order by typing in the whole order number, a chunk, or the beginning of any chunk. However, you wouldn't find this order by searching for 676 because the 676 chunk starts with 657485.

Filter Returns

Filters allow you to view orders that match only your selected criteria, like request type, refund method, create date, shipment status, and amount. Combine filters for a powerful way to quickly view priority returns or returns that need special attention.

Available Filters:

  • Request Type: filter by return, exchanges, or purchases.

  • Refund Method: filter by gift card or payment method.

  • Create Date: filter based on the day the return was originally requested or created.

  • Shipment Status: filter by Pre-Transit, In-Transit, or Delivered

  • Amount: filter by refund amount.
